We are seeking candidates for two unpaid internships  from 11 July 2016 to 30 September 2016. There are two positions available:

  • Administrative Assistant
  • Production Assistant / stage manager

The chosen candidates will play a very important role in the running of a busy Office, keeping systems updated and ensuring the smooth communication between all parties involved, actors, writers, directors. The successful candidates will gain valuable experience into the running of a dynamic theatre organization, along with all its exciting events.

We are seeking preferably a graduate with good computer knowledge and administration background with an interest in theatre and the arts. Candidates should have strong administrative skills, organizational ability and excellent interpersonal skills. Previous experience in the fields of administration and PR and theatre production is not essential but would be a bonus.

 

Administrative Assistant

Job Definition:

To work for and support the management (artistic director,  directors ) and company manager of Smashing Times Theatre and to carry out the actions of the programme as defined by the company manager and management of Smashing Times.  In carrying out the tasks and job functions, the administrator will take instruction from and report to the Company Manager at all times, and in their absence to the artistic director.

Key competencies : Clear Spoken Communication, strong organizational and leadership skills, critical thinking, problem solving, negotiation and time management essential. Strong attention to detail, Computer skills, MS Office, (word, excel and powerpoint ), webpage maintenance using wordpress, and knowledge of mailchip and advantage. Ability to multitask essential.

  • Answering & returning telephone calls including calls to the media
  • Updating Schedules & Mailing lists
  • Manage and process bookings
  • Updating & Improving Office Systems
  • Updating Calendar of Events
  • Assisting the Manager in promoting/organizing events
  • General Office duties, including filing, copying, organizing
  • Developing Social Media Campaigns
  • Update and maintain website
  • Assisting in the production and distribution of promotional literature
  • Communicating with public and media
  • Assisting in development of marketing content for the symposium
  • Assisting in event promotion and on-the-day assistance
  • To assist with the monitoring of the project as required and to ensure the completion of all monitoring forms and reports to the funders in association with the coordinator.
  • Assist with the completion of all contracts for freelance staff working on the project activities
  • Review and update existing marketing plan.
  • Developing a marketing and fundraising strategy appropriate future events
  • carry out the day to day administrative running of the project as defined by Smashing Times
  • plan meetings for the purpose of the smooth running of the project.
  • secure all locations required for the implementation of project events
  • complete all contracts and secure invoices as required
  • coordinate all expenses claims
  • other duties as outlined by the management team.

 

Assistant Producer / stage manager

Job Definition:

To work for and support the management (artistic director,  directors ) and company manager of Smashing Times Theatre and to carry out the actions of the programme as defined by the company manager and management of Smashing Times.  In carrying out the tasks and job functions, the administrator will take instruction from and report to the Company Manager at all times, and in their absence to the artistic director.

Key competencies : Clear Spoken Communication, strong organizational and leadership skills, critical thinking, problem solving, negotiation and time management essential. Strong levels of enthusiasm, initiative, motivation & energy. Computer skills including MS Office, knowledge of Qlab and advantage.

  • act as the main liaison between the directors, actors and crew and the office administration.
  • Source props etc for the show
  • Develop the rehearsal schedule
  • Liaise between the rehearsal space and the office re programme media cover etc
  • Attend the rehearsals and support maintaining the book
  • Work on the get in and get out of the theatre
  • Attend all performances
  • Support the development of a rehearsal schedule
  • Support the development of a technical rehearsal schedule
  • Photocopying as required scripts, health and safety policy etc
  • Maintain and distribute a contacts list for all involved in the production
  • Book rehearsal space by liaising with the office administration
  • Support the securing of costumes
  • Liaise with office to move props, costumes etc
  • Manage expenses budget for costumes and props
  • Maintain all receipts etc.
  • Support the marketing of the show and symposium
  • Support the scheduling and running of meetings to ensure the efficient running of the show.
  • Ensure all health and safety procedures are followed.
  • Support and liaise between the venue and the production team and office administration
  • Other duties as required by the management team.
